Tour Inventory - Add Option to Tour

Options are created under Inventory, meaning that it shares the same information but has different settings such as duration, departure time, availability and so on.

There are 3 ways to start adding new option.

1) If you haven’t created any option yet…
Select the tour which you wish to add an option to from the list in the left hand frame. You can see the button on Tour Details page.

2) If you already created option to this tour…
Select the tour which you wish to add an option to on the list in the left hand frame. You can see the button. Or click on any option which belongs to that tour and click on the link.

3) If you have similar option…
If you already have option and want to add similar option, Copy Option function comes in handy. Click on option you want to copy from the list in the left hand frame. Click on the button on top menu, then modify fields.

Here’s the detailed explanation of each field.

GENERAL INFORMATION TAB

Option Title
Options can be considered as options that the tour has. So Option Title would be a text that differentiates this option from the other in this tour.

ex. “10:00 am Departure”, “Afternoon Departure”, “Double”, “Single”

Option Title is displayed on couple of pages on the front-end, such as Booking Form and Booking Confirmation, as well as on the list of options when a booking date is selected on Availability Calendar.

If the option you are adding is going to be the only one option in the tour, then the title could be departure time, or start/end time.

Color Bookings

Would you like to recognize bookings of this option more easily than others in the Bookings section? If so, select a color from the color pallet.

When this option gets booked, the booking will be displayed in the selected color on the list, in the Bookings.

Item Duration
Enter the duration of the tour. (ex: 6 Hours, 2 Days)

Min Per Booking
Minimum per booking if the number which customer need to make booking. If you enter 2, then customer has to 2 person at least to make booking.

Do not list in Marketplace
Check this if you do not wish this option to be available in your reseller marketplace. This option will still be bookable on front-end.

AVAILABILITY SECTION

Availability
Enter the number of available seats, tickets, etc. For example, if the option is boat tour and the maximum number of persons it can hold is 10, then your spaces will be “10″.
This number can be either displayed or not displayed on Availability Calendar (ex: “8 spots available”) on front-end. To hide the number, tick the checkbox.

Start/ End Date
Specify the period of time that the option is available for. If the option is available only on one date, select the same date for both Start and End Date.

Booking Cutoff
To set booking cutoff day, enter the number of days. When you set cutoff date to 3, Availability Calendar will not allow customers to select 3 days from today. For example, current date is September 1st and the cutoff date of the option is set to 10 (which means 10 days), Availability Calendar won’t show the option until September 11th.

Click on the “Next Step” button to continue.

PRICING SECTION

Pricing
There are 3 Default Pricing Labels: Adult, Child, and Senior. These labels are editable inside the text boxes. For example, you can change “Child” to “Child 2-11″, or “Senior” to “Student”. You may have more than 3 price points. Click the “show more pricing points” button to display more fields. You can have them up to 9 labels.
To make this field required, check the box next to the price point. For example, if the option has to have at least one adult and a child, tick the checkbox for adult and child. You still can have other fields such as senior, student and so on as non-required fields for the option. Please note that at least one required field is needed to book this option.

Deposit
Set the deposit required upon booking. You can enter flat rate or percent (ex: 6%).

Min Price
This option may have multiple pricing rules in the future that lower the price of the option. The minimum price setting stops the price from going under its set amount.

Taxes
Enter the tax that needs to be added to the price. (ex: 6%)

After entering the information, click the “Submit Option” button located on Pricing tab. Your tours and options are now listed on the list in the left hand frame.
